Improve Opportunity Reporting

Hi all,


In the Opportunity Report, highlighted below, I would like to see the Capacity field updated so it's responsive to the date range.

When clicking into the report (headers pictured below), the values in the Hours and Reponses columns change based on the date range. This makes sense and is expected. Unfortunately, the Capacity column values don't change, presumably showing the capacity for the life of the opportunity rather than the capacity during the date range. I haven't figured out how this cumulative value can be used to help with any analysis.

I would like to see the Capacity column update with the date range. With this data we could calculate attendance rates and see change over time. These are extremely helpful data points that would greatly benefit our work, and right now we have to estimate or do it manually.

Thanks so much for clarifying! Before making a note in regards to the Shift Data Explorer report piece of this request, I wanted to ask what the Reports > Today's Shifts and general shifts export from Volunteerism > Opportunities > Export Shifts are missing in regards to data you would like to see in this type of report (outside of a responsive capacity column)?


Are there specific columns needed? Would the addition of a shift explorer be nice mainly for flexibility in regards to the columns you can select and export? etc.


This will help me better understand what to take note on!

Hi Shonie,


I don't think a report like this exists in the current platform. The closest one would be the Opportunity Data Explorer. I think a new Data Explorer should be added, and it should focus on shifts. 


Alternately, the Opportunity Data Explorer could be updated so that the Capacity column is responsive to the date range. Right now the Capacity column shows the spaces available over the life of the opportunity.

I found what I believe to be a solution to this challenge! 


On the Site Manager Opportunity Page (https://volunteering.sfmfoodbank.org/manager/need/), there is the ability to export Opportunities and Shifts. I hadn't seen this before but having used it I think it might have the necessary info.

As an alternate to the suggestions above, I'd propose these two new suggestions:

  • Add the same Shift Export capability to the Reports section (that's where I had been looking all this time)
  • Add a Program column to the report
  • Add a date filter to the report
  • Add an Hours column to the report (so we can see how many hours were actually served)
  • Add a Checked-In column to the report (this would show how many actually attended)


If this works it will go a long way to helping with our data questions.

I’ve added “an “Open Slots” column that reflects the total number of remaining capacity that an opportunity had within the date range applied to be added to the Data Explorer > Opportunities report”, and I’ll make sure this is discussed by our team.

I’ll also note that you’ll be able to find this information from within Data Explorer > Opportunities by subtracting the total responses made within the date range applied from a need’s capacity.

Thanks for replying. 


Yes, seeing remaining open slots for a date range would be helpful, as I think we could run all our needed calculations based on that. 


I do think it would be even more impactful to see the total capacity in that date range (in my head it's easier to analyze in Excel) but your suggestion would work.

I hope you’re doing well, and thank you for adding your suggestion! I can definitely see how it’d be helpful to be able to see the remaining open slots for opportunities based on the date range applied.


The capacity field is important because it reflects the total capacity assigned to an opportunity within Edit Opportunity, however, would you more so like a new field to be added such as “Open Slots” that adjusts based on the date range and reflects the total number of open slots that were remaining within the date range applied?
