We LOVE the new public/private option on opportunities, but also desperately need it on events! Because we work with so many corporate partners and non-corporate groups, we are constantly having to use advanced finds to make events (and formerly opportunities) private. The new public/private feature on opportunities has saved us a ton of headaches, and we'd love to see it on events as well.

Thanks for reaching out! I currently don't have an update on this requested Enhancement but I'm going to record this request for our future internal Enhancements meetings. I will be sure to let Development know through recording your request that there are additional admins requesting the ability to make events private.

Has any progress been made on this topic? We are having an invite only Volunteer and Donor Appreciation breakfast and would love to use the event feature, but need to be able to make the event private and only accessible for those with the link. Please update!

One of the work-arounds we have found for "private" events is to only use the event feature for our organization. When we were given the opportunity to turn off the event feature for our agencies on the portal a few years ago (which the agencies seldom used), we kept the feature only for our organization (that we access as the site managers). That way, none of our events are in the site's navigation and are only seen if we share a link to all of the events or a single event. We also, when posting an event, toggle off our events so they are not shared on the university and state-wide portals that our hub feeds into. Just passing that along if it helps anyone else.  - Gina, HOI United Way

Definitely a feature we would like for a volunteer recognition event for internal programs, so not open to the public. I hate to have to send them to a google form rather than track them on our site and see how many attend etc. We can invite them by the number of hours tracked in the system, which would give them the incentive to use the software portal more and log their hours.

We would love to see this feature developed. If you have multiple user groups associated with your organization with targeted events then the Events feature is somewhat useless. I recently wanted to use the Event section of Galaxy to create the invite for our annual appreciation dinner for one of our user groups. I could not because all users would be invited. 

Any chance this is going to happen anytime soon?

We are just starting to explore the use of the events feature. As echoed above though it is limiting that it cannot be made private. It seems like it would be more streamline for party and training tracking than making an opportunity. But very few of the events that we do are open to the public.

At this time, we have not implemented an option to make Events private or that allows Events to be shared only with a specific User Group. For now, our recommendation is to utilize Opportunities in order to take advantage of privacy and user group features! If you have questions about how to best utilize Opportunities for your specific goals, please contact support@galaxydigital.com for further guidance.


We are always looking for opportunities to improve the software for our clients, so please keep an eye out for future enhancements!

We would love to be able to use the Events feature however, without the private option we can rarely utilize it.

An option is to create a private need and send the need link out to the invitees.

 

Please be aware that the event will be treated like a need, since you're posting it as a need. That will include:



  • You have to pick an interest for the "need."

  • When users RSVP, they'll have to click "Respond," which could be a little misleading.

  • People who respond will get an email thanking them for volunteering.

  • Reporting will not be as accurate since it will include this event with all of the needs on the site.

Hi. I was searching for a way to make an event private and ran across this thread.  We have several events that we would like to make private.  


Example, we have an invitation only dinner we would like to post and track responses through the system.  What is your suggestion?

Hi, Kristen! I'm so glad you love the new public/private option! We don't currently have plans to do the same with events, as we haven't received requests for such. I'll add it to our enhancements list for consideration. Often when we bring up an enhancement idea, we're asked for "use cases," so can you give me some examples of the types of events you would want to make private?
