How to Manage Need Shifts as an Agency Manager

Do you want to add, delete, or edit Need shifts? Maybe you have to move things around on the schedule due to inclement weather or some other unexpected event. Maybe you want to add more shifts to a Need that was super popular.

    You can manage your Needs shifts at any time! This can be done from the Needs area of your Agency Manager dashboard. Here we cover: 


Managing shifts as an Agency Manager

You can add, delete, and edit shifts for Needs with Custom or Recurring Shifts duration types. This can be done from the Needs area of your Agency Manager dashboard at any time. 


How to add shifts

You can add shifts individually or in bulk for your Agency's Needs. 

So you know: You can add shifts a maximum of 13 months in advance; however, we recommend only scheduling shifts out 3-6 months in advance. If you schedule them out 3-6 months in advance, it improves the volunteer experience and helps limit any future scheduling conflicts.


How to add shifts individually

To get started: 

1. Go to My Agency > Needs

2. Click Edit under the Need title. 

  • Be sure you're clicking Edit on a Need that has Custom or Recurring Shift duration types.

3. Go to the Edit Shifts tab.

4. Click Add Shifts

5. Fill out the Add Shifts form. 

6. Click Save Updates to Shifts to finish. 


How to add multiple shifts quickly

To get started: 

1. Go to My Agency > Needs

2. Click Edit under the Need title. 

  • Be sure you're clicking Edit on a Need with Custom Shifts as the duration type.

3. Go to the Edit Need tab.

4. Scroll to the shift details area of the Update Need form. 

5. Fill out the Shift Date/Time, Shift Hours, and Shift Capacity fields. 

6. Click Add Shift and repeat the process as many times as necessary. 


How to delete shifts

You can also delete shifts individually or in bulk. Please note, that if you delete a shift with volunteer responses, then those responses are also deleted. If the shift has submitted volunteer hours, then those still appear in your Stats > Hours area of the Agency Manager dashboard. 

 

How to delete shifts individually 

To get started: 

1. Go to My Agency > Needs

2. Click Edit under the Need title. 

  • Be sure you're clicking Edit on a Need that has Custom or Recurring Shift duration types.

3. Go to the Edit Shifts tab.

4. Click the under the Options column for the shifts you want to delete. 

  • A popup appears asking you to confirm your selection. 

  So you know: You can also delete shifts from the Edit Need tab for Needs with the Custom Shifts duration type. 

1. Go to My Agency > Needs

2. Click Edit under the Need title. 

  • Be sure you're clicking Edit on a Need that has the Custom Shift duration type.

3. Go to the Edit Need tab.

4. Scroll to the shift details section of the Update Need form. 

5. Click the X by the shift you want to delete. 

  • A popup appears asking you to confirm your selection. 
  • Repeat the process as many times as necessary.  


How to delete shifts in bulk

To get started: 

1. Go to My Agency > Needs

2. Click Edit under the Need title. 

  • Be sure you're clicking Edit on a Need that has Custom or Recurring Shift duration types.

3. Go to the Edit Shifts tab. 

4. Check the boxes beside the shifts you want to delete. 

✏️ Quick tip: You can check the box at the top to select all shifts on that page.

5. Click Delete Selected Shifts

  • A popup appears asking you to confirm your selection. 


How to edit shifts as an Agency Manager

Whatever the reason, you can update your Need shifts anytime. Want to make an edit to one shift? No problem! Need to make bulk edits to multiple shifts? You can! This can all be done from the Needs area of your Agency Manager dashboard! 


How to edit shifts individually 

To get started: 

1. Go to My Agency > Needs

2. Click Edit under the Need title. 

  • Be sure you're clicking Edit on a Need that has Custom or Recurring Shift duration types. 

3. Go to the Edit Shifts tab. 

4. Click the pencil icon under the Options column on the shift you want to edit. 

5. Make the applicable edits. 

6. Click Submit Shift

Best practice: We recommend checking the box beside Notify respondents of this update? especially if the shift has volunteer responses already. This sends an automated notification to volunteers letting them know that there are changes to the Need, and a link to the Need so they can observe the changes themselves.

 

How to edit shifts in bulk

To get started: 

1. Go to My Agency > Needs

2. Click Edit under the Need title. 

  • Be sure you're clicking Edit on a Need that has Custom or Recurring Shift duration types. 

3. Go to the Edit Shifts tab. 

4. Check the boxes beside the shifts you want to edit. 

5. Click Edit Selected Shifts.

6. Check the boxes beside the fields you wish to edit. 

✏️ Quick tips: 

  • You can check the box at the top to select all shifts on that page. 

  • Want to remove any of the selected shifts from the Edit Shifts window? Click the X beside the shit under Selected shifts to be edited

7. Make the applicable edits. 

8. Click Update Shifts

Best practice: We recommend checking the box beside Notify respondents of this update? especially if the shift already has volunteer responses.
