Volunteer Waitlists: A Guide for Agency Managers

You might notice that volunteer's can sign up for a waitlist when your Needs are full. Volunteer waitlists are available when a volunteer Need is full or has reached capacity. In order for this option to be available for your agency's volunteer Needs, the site manager must enable waitlists for full Needs from their main settings. If you don't see this option when your Needs are full, please contact your site manager to discuss enabling it. Here we cover: 


How to manage volunteer waitlists

Reviewing a waitlist

You can view a waitlist for a Need on the Update Need page: 

1. Go to My Agency > Needs

2. Select the Need you want to review. 

3. Scroll to the bottom until you see Waitlist

4. If the site has waitlists enabled for full Needs, and volunteers have added themselves to a waitlist, then you can review and manage those volunteers here! The table includes details like: 

  • The volunteer's name and email address, the date they were added to the waitlist, the shift they've waitlisted for, and the number of open spots. 
    • If the Need had a duration type of Is Ongoing, Happens On, Runs Until, or Multi-Date, then the shift time may not reflect the actual time of the shift. 


Moving volunteers from waitlisted to registered

If a spot opens up for a Need, then the waitlisted volunteers are automatically notified five minutes after it opens. You can then move them from "waitlisted" to a "registered" respond for that Need. This doesn't mean the volunteer will show up for their scheduled Need, but it does mean they are scheduled and expected to show up for it. 

  • A spot may come available if: 
    • A volunteer unregisters from the Need. 
    • You, another agency manager, or a site manager manually removes a volunteer response for the Need.

How to move a volunteer off a waitlist

If a spot is available, then you can move volunteers from waitlisted to registered: 

1. Go to My Agency > Needs

2. Click the Need you want to manage a waitlist for. 

3. Scroll to the bottom until you see Waitlist

4. Click the plus sign icon under Options

So you know: This option is only available when a spot is available. 

  • If there aren't any spots available, then you won't see the plus sign under Options. 

5. A popup appears asking you to confirm your selection. 

  • Click Yes to confirm—a notification is sent to the volunteer letting them they've been registered for the Need. 
  • Click No to cancel. 


Emailing a waitlist

When a spot opens up for a waitlisted Need, volunteers receive a notification automatically. However, you can manually send an email to those volunteers letting them know that spots are now available. 

1. Go to My Agency > Needs.

2. Select the Need you want to email the waitlist for. 

3. Scroll to the bottom of the Update Need page and until your see Waitlist.

4. If spots are available, then you'll see an Email Waitlist button above the Waitlist table. 

5. Click Email Waitlist to manually send the notification to those volunteers. 


Exporting a waitlist

You can also export a waitlist for reporting or review! 

1. Go to My Agency > Needs. 

2. Select the Need you wish to export the waitlist for. 

3. Scroll to the bottom of the Update Need page until you see Waitlist. 

4. Click the Export button. 

  • This downloads the waitlist to a CSV. 
  • The exported waitlist includes: 
    • The Shift ID, Date, and Time
    • The Need title
    • Date Added
    • The user's ID, First and Last Name, and Email

Volunteer perspective

If your site has waitlists enabled for full volunteer Needs, then when a Need has met its capacity, a volunteer sees a Waitlist button in place of the Respond button: 

  • Once they click this button, they are then added to the Waitlist for that Need. 
  • They can come back at anytime and click this button again to be removed from the Waitlist. 
  • They will get notified when there is a spot available. At that point, it is first-come-first-serve! 
  • Once the spot is filled, they will get another notification letting them know that the spot is no longer available.
