How to Message Volunteers that Responded to a Need with Shifts

Do you want to reach out to volunteers who have responded to a Need to share important information with them? You can always send them a message from the Schedule area! Here we cover: 


Message volunteers with Need responses

There are a couple of ways you can message volunteers who have responded to a Need shift. 


Option 1

This option is best for sending generic messages to volunteers in one go. You can send a quick informative email with details about the Need the volunteers have responded to. Maybe you want to send an introduction message with your contact details! Option 1 is the best method for doing so! 

1. Go to My Agency > Schedule

2. Select the User Responses tab.

3. Click View More on the date you want to review. 

4. Check the boxes beside the volunteers you wish to message. 

  • You can check the box beside the User column to select all. 

5. Click Message Responders.

6. A popup appears asking you to confirm your selections. 

7. Fill out the subject and message. 

Best practice: Be sure to include your email in the body of your message—especially if you expect the volunteers to respond. 

✏️ Quick tip: Want to see the entire message field so you can review your email? Just click and drag the bottom right corner to expand the view! 

8. Click Send Email when you're ready! 

  So you know: The email is sent from the site with the no-reply from email address. 

  • Volunteers aren't able to reply to this message. 
  • It's a good idea to include an email in the body of your message that volunteers can reply to if needed. 


Option 2

Option 2 is best when you want to send a more personalized message to one volunteer. This is great if you want to ask the volunteer a question or tell them something specific to their role in the Need. 

1. Go to My Agency > Schedule

2. Select the Shifts tab.

3. Click View More on the date you want to review.

4. Select the number under the Responses column.

5. Click the email for the volunteer you wish to message. 

6. Fill out the subject and message fields. 

Best practice: Be sure to include your email in the body of your message since these are sent from the site with the no-reply from email address.

7. Click Send Email when you're ready!
