Anonymous and Plus-One Hours: A Guide for Agency Managers

If the site your Agency is registered on allows anonymous and plus-one hours, then you can enter these hours on behalf of volunteers who don't have an account on the site. Volunteers can also enter plus-one hours if they brought a co-worker, family member, or friend to participate with them for one of your Agency's Needs. Anonymous hours

You, other Agency Managers, or the Site Manager are the only ones who can enter anonymous hours on behalf of volunteers who don't have a registered account. These hours appear in records and reports with the name [Anonymous] for the user. This feature allows you to capture accurate hours for your records when managing volunteer Needs with a heavy volunteer turnout or when volunteers bring friends to events that don't have accounts on the site.   

How to add anonymous hours as an Agency Manager

To get started: 

1. Go to My Agency > Time Tracking

2. Scroll to the Hour submission form under the Volunteer Hours table. 

3. Select the Need you want to add anonymous hours for with the Select a Need dropdown. 

4. Select Anonymous User with the Select a Volunteer dropdown. 

5. Complete the Hour Details fields. 

6. Answer any required Hours Questions as applicable. 

7. Click Submit Hour Entry when finished. 

So you know: When you, another Agency Manager, or a Site Manager, enter hours on behalf of volunteers, they're automatically approved and won't appear as pending in the Volunteer Hours table. 

  • If a Site Manager changes the status of an anonymous hour from approved to pending, that hour appears in the Volunteer Hours table with Inactive User as the volunteer's name.
    • Once you approve the hour, it appears with Anonymous as the User in the Stats > Hours area of your Agency Manager dashboard. 


Plus-one hours

You, other Agency Managers, Site Managers, and volunteers can enter plus-one hours for individuals who don't have a registered account. Plus-one hours are great for keeping track of hours submitted for volunteers who are minors.

So you know: Plus-one hours are associated with the registered user's account that entered them or that they were entered on behalf of, for example: 

  • If a volunteer enters plus-one hours, those hours are attached to their account. 
  • If you, other Agency Managers, or a Site Manager enter plus-one hours, those hours are attached to the volunteer account that you enter hours on behalf of and add plus-one hours to. 


How to add plus-one hours as an Agency Manager

To get started: 

1. Go to My Agency > Time Tracking

2. Scroll to the Hour submission form under the Volunteer Hours table. 

3. Select the Need you want to add anonymous hours for with the Select a Need dropdown. 

4. Select the user with the Select a Volunteer dropdown. 

  • Volunteers must have submitted a response to the Need for their name to appear in the dropdown. 
  • The volunteer selected here is the volunteer account the plus-one hour is associated with. 

5. Complete the Hour Details fields. 

6. Check Yes under Plus-one Hours

7. Enter the number of additional volunteers. 

8. Enter their relationship to the volunteer the hours are being attached to—e.g., family, friends, club members, etc. 

9. Answer any required Hours Questions as applicable. 

10. Click Submit Hour Entry when finished. 

So you know: 

  • When a volunteer submits plus-one hours, they're set to pending and appear in the Volunteer Hours table.
    • Hover over the icon beside Plus-one to see who the hours are associated with. 

  • When you, another Agency Manager, or a Site Manager enter plus-one hours, they are automatically approved and won't appear in the Volunteer Hours table. 

The volunteer perspective

When volunteers submit hours, they can add plus-one hours for anyone who joined them who doesn't have a registered account. Volunteers can submit plus-one hours when adding hours from their profile, when they use self-check-in, or when they use the Check-In Kiosk.
