There are automated notifications triggered by certain actions and events on your site. When these notifications are triggered, they're automatically sent to the designated users. Some notifications are meant specifically for your Agency Managers. Here we look at what those notifications are and what they do!
ⓘ So you know: Some sites use the word "need" in place of "opportunity", "agency" in place of "program", and "prerequisite" in place of "qualification". You can request a language override for your site by contacting us, but the language in templates won't reflect those changes.
Notifications for Agency Managers
Automated notifications are triggered and sent to different recipient types on your site when they take certain actions or when they have pending items for review.
✏️ Quick tip: You can filter automated notifications by the user recipient type!
1. Go to Communication > Notifications and type the user type in the field under Recipient.
2. Click Enter on your keyboard to filter the table!
For example, if you want to see all of the automated notifications that are sent to volunteers, type Volunteer in the recipient field and hit Enter on your keyboard:
Here are the different Agency Manager notification templates and what they do:
Template Name | What It Does |
---|---|
Agency Imported Message | Notifies an imported Agency's primary manager when the Agency is activated. Note: The message isn't triggered if you or another Site Manager manually change the Agency's status from "imported" to "active". |
Agency Incomplete Notification | Sends a message to Agency Managers who haven't completed their agency profiles. |
Agency Need Denied | Notifies the Agency Manager that their submitted volunteer Need was denied by a Site Manager. |
Agency Application Received | Notifies the person who completed an Agency application that their application is being reviewed. |
Agency Need Expiration Notification | Sends a notification 7 days before and one day before a volunteer Need expires. |
Agency Need Happens On Notification | Sends a notification 7 days before and one day before a volunteer Need occurs. |
Agency Manager's Weekly Digest | This is a weekly email for Agency Managers that informs them of expiring volunteer Needs, upcoming volunteer Needs, and pending hours. |
Notification of Unregistered Volunteer | Notifies Agency Managers when a volunteer unregisters for one of their posted volunteer Needs. |
Ongoing Need Notification | Sends a message to the person who created an Ongoing Need 90 days after it's been updated. |
Registration Closed Message | Notifies Agency Managers on the day a volunteer Need's registration closes. Note: A message is sent for each Need with a registration closing—even if there are multiple for one day. |
Pending Hours Notification for Agency | This message is sent once a day to Agency Managers who have pending volunteer hours awaiting review. |
Notice of Need Response | Notifies Agency Managers when a user responds to one of their volunteer Needs. |
New Agency Approval Message | Notifies Agency Managers when their Agency application has been approved. |
Event RSVP Notice to Agency | Notifies Agency Managers when one of their Events receives an RSVP. |
Notification of Unregistered Event Attendee | Notifies Agency Managers when a user unregisters for one of their Events. |
Agency Roundup | This message is sent to Agency Managers for soliciting volunteer Needs during a time of disaster. Note: This message is only available if the site has the Disaster Dashboard enabled. |
Agency Check-in | This message is sent to Agency Managers for ongoing contact during a time of disaster. Note: This message is only available if the site has the Disaster Dashboard enabled. |
Agency Wrap Up | This message is sent to Agency Managers after the disaster period ends. Note: This message is only available if the site has the Disaster Dashboard enabled. |
