Managing Agencies as a Site Manager

As the Site Manager, you oversee everything for your site from the back end—including the Agencies that register on your site. You might also want to create an Agency for your organization so you can post Needs yourself! Here we cover: 


How to approve a new Agency

Depending on how you've set up your approval settings, you may have to review and approve new Agencies when they register on your site. You can always add Agencies manually as well, but to approve an Agency: 

1. Go to Volunteerism > Agencies

2. Click on the Agency Name that has a Pending status. 

3. Under Basic Information, change their status from Pending to Active

  • The agency can start posting Needs on your site once they're listed as Active! 

How to add a new Agency manually 

Do you want to add an Agency to your site manually? You can from the Agencies area. 

1. Go to Volunteerism > Agencies

2. Click Add New Agency

3. Fill out the required fields and all applicable fields as necessary. 

  • Once you assign an Agency Manager, they can update the information on their own. 
  • You must add the user you plan to assign as the primary Agency Manager before you can finish creating the Agency. 
    • You can always set yourself as the primary Agency Manager and change it later if needed! 
  • You can also add notification recipients for an Agency under the Contact Information field in the field beside Additional Notification Recipient(s) 
    • Here you can add emails for users you want to receive important Agency notifications, e.g., new volunteer Need Responses and Event RSVPs. 

4. Be sure to click Submit Agency when you're done. 

So you know: The fields on the Create Agency page are almost identical to those an Agency completes when setting up their Agency profile. However, they don't have the following fields: 

  • Status: This is where you manage the Agency's status. The different statuses include Active, Inactive, Pending, and Imported. 
  • Primary Manager: Here is where you assign the primary Agency Manager. 
    • They must have a valid and active account on the site to be assigned as the primary Agency Manager here. 
  • Partner Agency: Volunteers can search Agencies by partner status. 

  • Tags: Add tags to make the Agency more searchable. 
  • Comments: These comments are only shared between you and other Site Managers. 


Ensuring Agency Managers complete their profile 

Want to see which Agencies haven't completed their profiles? 

1. Go to Volunteerism > Agencies

2. Click the Incomplete Agencies tab. 

  • The table displays a list of active Agencies and which fields of their profile are missing.
    • A red triangle with an exclamation indicates which fields are incomplete. 
  • You can click Notify Agency Managers to send a friendly nudge to complete their profiles. 


How to deactivate an Agency 

Do you need to deactivate an Agency? Maybe someone created an Agency on your site by accident, or maybe that Agency does not align with your organization's values. You can deactivate an Agency by changing the Agency's status from Active to Inactive. 

1. Go to Volunteerism > Agencies

2. Select the Agency Name you wish to deactivate. 

3. Under Basic Information, change their status to Inactive

4. Be sure to click Submit Agency to save your changes. 

So you know: This will erase all data associated with that Agency. This includes Needs that the Agency posted, responses to those Needs, and hours added to those Needs. 


Managing Agency data

Importing Agency data

If your site is switching from another volunteer management system, you probably already have a database of participating Agencies. If you want to have your Agencies imported into our system, contact us to get an import template.

  • Want to import the data yourself? Contact us to discuss that option!
    • At a minimum, your Agency-importing spreadsheet needs to include the following columns: 
      • Agency name
      • Agency Manager's first name
      • Agency Manager's last name

Exporting agency data

You can export various types of Agency data into a spreadsheet. This can be done from your Reports area or the Agencies area. 


How to export data for all Agencies

1. Go to Volunteerism > Agencies

2. Click Export All Agencies

  • This downloads your export to a CSV. 


How to export specific Agency data

To export specific Agency data, visit the Reports area of your site where you can pick and choose from a variety of reports tailored to meet your reporting needs!
