How to Launch the Check-In Kiosk as an Agency Manager

The Check-In Kiosk is a tool that you can use for quick volunteer check-in and out! The kiosk can be used for any of your Agency's Needs, as long as they're associated with a set number of hours. You must have a dedicated device—e.g., a tablet—to launch the kiosk at the Need location. Here we cover: 


How to launch the Check-In Kiosk

To launch the Check-In Kiosk, you must be logged into the site as an Agency Manager. Site Managers can also launch the kiosk from their accounts. 

So you know: When you launch the kiosk, you're logged out of your account and can't access your management tools. 

  • This also ensures that volunteers checking in or out of a Need can't accidentally access your management tools! 

To get started: 

1. Go to My Agency > Check-In

2. Click Check-In Kiosk

3. This logs you out of your account and opens the Check-In Kiosk where volunteers can check in or out of Needs. 

Heads up! You may only see the Needs available to your agency. 

  • However, if the Site Manager has enabled the site to show all available Needs in the kiosk, you may see Needs from other Agencies on the site. 


How volunteers check in at the kiosk

Volunteers can use the kiosk to check themselves in or out. There are two options on the login page: 

  • Select I Have An Account if they've already registered on the site. 
  • Select Create An Account if they don't have a registered account on the site. 

Registered users

When a registered user clicks I Have An Account, they're then asked to look up their account by either their mobile number, email address, or name. 

  • A search field populates when they select the method they wish to look up their account with: 

  • After entering their mobile number, email address, or name, they're then asked to verify their account information:

  • Once they verify their account, they're ready to start checking in to Needs!

  • From here, they can click Check In to start checking in for Needs. 
    • Needs only appear in the Check-In Kiosk if: 
      • They have hours associated with them—e.g., when the Need was created, a set number of expected volunteer hours were established for that Need. 
      • The Needs are scheduled to occur within the next seven days. 
      • The Needs aren't expired.
      • The Needs aren't full. 
      • The Needs aren't set to private.

  • When they click Check In, they're taken to the Self Check-In page of the kiosk: 

  • From here, they can either opt to Check-In Now or Check-In With A Custom Time

  • They can also add the number of miles traveled—if applicable—or add plus-one hours for anyone they brought with them to volunteer who doesn't have an account on the site. 
  • When they're ready, they can click Check In to finish.
  • If they're not ready to check in, or if they are on the wrong Need, they can click Back To My Upcoming Shifts to return to the previous screen or Back To Start to start over. 

  • Volunteers can also click View Other Needs to see if the Need they're looking for is located elsewhere in the kiosk: 

  • This takes them to a page with additional available Needs that they can check in for, even if they didn't respond to them already. 

  • They can click View Details for a Need and then Check In to respond to it and check in for it at the same time. 

  • If a Need has a required qualification to respond to it, then volunteers must complete the qualification before they can View Details and Check In for a Need. 
    • This must be accomplished through their profile and can't be done in the kiosk. 
    • The qualification must be submitted and approved before they can proceed.

  • If the qualification has a waiver, then the volunteers can go ahead and e-sign that waiver to complete the qualification at check-in through the kiosk. 

  • They'll be asked to enter their birthday so they can be directed to the correct waiver—i.e., adults vs. minor waiver. 

  • Once they sign the waiver and it's approved, the View Details button appears for the Needs the waiver is associated with. 
    • From there, they can continue with the response and check-in process. 

New users

If the volunteer doesn't already have an account, they can go ahead and register for one at sign-in!

  • After they click Create Your Account, they can then see the available Needs. 
    • If the Need has a required qualification, then they must first complete that qualification and have it approved before they can respond and check-in. 
      • This must be done outside of the kiosk.
    • If the Need has a waiver attached, then they can go ahead and e-sign it in the kiosk.
      • Once they've completed the waiver and it's approved, they can then respond and check in for that Need.
