How to Update Files for Qualifications

Heads up! This article is intended for volunteers looking for more information about updating files for qualifications. If you're a site manager looking for more information about creating qualifications and waivers, click here. If you're an agency manager, click here 


Have you been asked to upload a file to show that you're qualified for certain Needs? You can upload files to qualifications that require a file upload. 


Uploading files for qualifications

You may encounter a qualification that asks for you to upload a file when registering an account on a site: 


How to upload a file during registration

If you're asked to complete a file upload for a qualification when registering your account: 

1. Click Upload File.

2. Browse to the file and double-click it—or select it and click Open

  • Accepted file types are pdf, txt, doc, docx, gif, png, jpg, and jpeg.

3. The text on the Upload File button is replaced with the name of your file. 

4. Answer any other qualifications and click Continue to Next Step to finish. 

  • You can review or replace your uploaded file from the My Qualifications area while the qualification is in Pending status.  
    • Once the qualification is marked as Qualified, you won't be able to edit it unless a site manager changes the status back to Pending or Re-submit.  


How to upload a file from My Qualifications

If you didn't upload a file during registration or a qualification was added later, you can always upload a file to it from the My Qualifications area. You can also update or replace a file from here.

1. Click your profile image or initials. 

2. Select Qualifications from the dropdown. 

  • This takes you to the My Qualifications page.

3. Click Upload File for the qualification under Incomplete Qualifications

4. Browse to the file and double-click it—or select it and click Open

  • Accepted file types are pdf, txt, doc, docx, gif, png, jpg, and jpeg.
  • The text on the Upload File button is replaced with the name of your file. 

5. Click Submit Qualifications

  • That qualification now appears under Complete Qualifications


How to update a file for a complete qualification

Need to replace or update a file for a completed qualification? You can if the status for that qualification is Expired, Pending, or Re-submit. Only site managers can change the status of your qualification, so be sure to reach out to them if you have any questions or need them to change the status so you can re-accomplish the qualification submission. 

1. Click on your profile image or initials. 

2. Select Qualifications from the dropdown. 

3. Under Complete Qualifications, click the pencil icon for the qualification you need to replace a file for. 

  • The pencil icon only appears when the status of the qualification is Expired, Pending, or Re-submit. 

4. Click Upload File

5. Browse to the file and double-click it—or select it and click Open

  • Accepted file types are pdf, txt, doc, docx, gif, png, jpg, and jpeg.
  • The text on the Upload File button is replaced with the name of your file.

6. Click Submit Qualification to finish. 


How to upload files to your user profile

Be sure to upload files for qualifications directly to the qualification requiring the file upload. If you just want to upload supporting documents to your profile or if a site manager has asked for you to upload them, you can at anytime! 

1. Click your profile image or initials. 

2. Select My Files from the dropdown. 

3. Click +Add File

4. Click Upload or drag and drop files into the field that says Drag & Drop Files

5. If you clicked Upload: 

  • Browse to the file and double-click it—or select it and click Open
    • Accepted file types are pdf, txt, doc, docx, gif, png, jpg, and jpeg.

6. When you click Open or after dragging and dropping your selected files, they appear in the table on the My Files page. 

  • You can copy a link to the file by click the link button under the Options column. 

  • You can also download your files by clicking their title.
