ⓘ So you know: The Check-In Kiosk only works with Needs. It does not work with Events, because Events do not collect volunteer hours.
Checking volunteers in for a Need
To get started:
1. Go to My Agency > Check-In.
2. Select the Need you want to check volunteers in for.
- If the Need has scheduled shifts, click Select This Shift for the shift you want to check volunteers in for.
- From here, you can see how many volunteers are already checked in for a shift under the Checked In Now column.
- Select the user group you want this to apply to, if applicable or select n/a if you don't want to apply this to a user group.
- You're ready to move onto the next step!
3. Check the boxes beside the volunteers you want to check in for that Need.
- A snapshot under the Need title shows you the shift date and time, number of volunteers currently checked in, and how many slots are filled for it.
4. Click Check In Users.
- Their status under the Checked In column changes from No to Yes and they now appear under the Checked In Now tab.
Checking volunteers out from a Need
To get started:
1. Go to My Agency > Checked In Now.
2. Under the Check-Out column, use the dropdown menu for the volunteer you wish to check out from a Need.
- Depending on the duration type of the Need, you may have other options to pick from when making your checkout time selection. For example, Needs with scheduled shifts have the option to Check out with the shift end time.
3. Once you've made your checkout time selections, click Check Out to finish.
- Those hours now appear under Stats > Hours.
✏️ Quick tip: You may have to filter the date range if you don't see the hours for the Need you just checked a volunteer out of. ⓘ So you know:
- Volunteers can check themselves in and out for a Need through the Check-In Kiosk, App, or Self Check-In from their volunteer profiles.
- If you or a volunteer misses a check out for a Need, the system automatically checks the volunteer out at midnight the night their Need occurred.
- The system also applies the default hours for that Need.
